Privacy policy

Who we are

Cargoform is an independent cargo booking agency based in Accra, Ghana. In this policy, “Cargoform”, “we”, “us” and “our” refer to Cargoform. We handle personal data in line with applicable Ghanaian data protection law, including the Data Protection Act, 2012 (Act 843).

What we collect

We collect the information you give us when you use the shipment form, email us, schedule a call or communicate with us about a shipment. That can include:

• Your name, company name, email address and any contact details you provide.
• Shipment details such as origin, destination, cargo description, weight, dimensions, value and dates.
• Documents you send us, such as invoices, packing lists, permits or transport documents.
• Messages and correspondence with us.
• Basic technical information from your visit, such as the pages you view and the device or browser you use, where our hosting provider records it.

How we use it

• To review your request and prepare a quote.
• To arrange and coordinate the shipment with forwarding partners, carriers and customs brokers.
• To communicate with you about the shipment, including changes, delays and document requests.
• To keep records of quotes, bookings and correspondence.
• To improve our service and respond to enquiries.
• To meet legal, accounting and regulatory obligations.

Why we can use it

We rely on the information being necessary to respond to your request, to perform a contract with you, to comply with legal obligations, or to pursue our legitimate business interests in operating and improving the service. Where consent is required, we ask for it and you can withdraw it at any time.

Who we share it with

We share only what is needed for the shipment or the service you asked for. That can include:

• Freight forwarders, carriers, customs brokers and destination agents involved in your shipment.
• Our website form provider, Web3Forms, which processes and delivers shipment and contact submissions to us.
• Our email and hosting providers.
• Cal.com, if you choose to schedule a call through our booking link.
• Professional advisers, insurers or authorities where required by law or necessary to resolve a dispute.

We do not sell your personal data. These providers may process data outside Ghana, including in the United States or the European Union. Where that happens, we take reasonable steps to ensure the transfer is protected by appropriate safeguards.

How long we keep it

We keep shipment and quote records for as long as needed to provide the service and to meet legal, tax and accounting requirements. When the information is no longer needed, we delete or anonymise it. If you ask us to delete data and we have no legal reason to keep it, we will do so.

Your rights

Subject to applicable law, you can ask us to access, correct or delete the personal data we hold about you, or to restrict or object to certain processing. You can also withdraw consent where we relied on it. To make a request, email hello@cargoform.org. We may need to verify your identity before acting.

Cookies and third-party services

This site does not currently use advertising or analytics cookies. We load fonts from Google Fonts, and the shipment form uses Web3Forms. Those providers may receive technical information such as your IP address when your browser connects to them. If you schedule a call, Cal.com handles the booking and its own privacy terms apply. If we add analytics or a newsletter provider later, we will update this policy.

Security

We use reasonable technical and organisational measures to protect the information you share. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. Please avoid sending sensitive information that is not needed for the shipment.

Children

Our services are for businesses and adults. We do not knowingly collect personal data from children. If you believe a child has sent us information, contact us and we will remove it.

Changes

We may update this policy as the service changes. The date at the top shows when it was last revised. Material changes will be reflected on this page.
